How to run and use the Proposal Report

The Proposal report displays the list of items in a project, the accessories and packages included in the project, and their price. It is the only report in SI that displays accessories (with their "parent" Item) and packages (with all Items grouped together).

Proposal Report Variations

There are three variations of the Proposal report based on whether item images are displayed and, if they are, how big the images are.

With reference to the image above, the items will be displayed as follows, depending on the variation of the report you choose.

The cover page, body, proposal summary, footer, customization options, and appending options remain the same for all three variations of the Proposal report.

The following is the layout and the fields in the report.

Cover Page

Proposals have a cover page that displays client information (project name, name, address, etc.), your company information, and an image.

The image displayed in the middle can be changed via a Report Setting. This image can also be set per Client or set per Project.

The graphic colors can be changed via report themes.

Body

In the body of the report, there is a page header graphic and a group header graphic for the first grouping.

These can be changed via report themes.

In the image below, the report was run "By Location."

The fields that display for each item are Image (depending on the report chosen), Quantity, Manufacturer, Model, Description, and Price.

By default, only products are displayed on these reports, not labor items.

In the image below, the option to show labor items was selected.

At the end of each grouping, there is a subtotal.

At the end of the last grouping, there is a Project Subtotal.

If you are using miscellaneous items, they will be listed after the Project Subtotal.

Customizing Body

You can customize the Body section via the Report Settings in the Control Panel and the Report Definition feature.

Turn Off Manufacturer, Model, and Pricing

Manufacturer, Model, and pricing can be turned off via settings in the report definition.

Show Labor Items

You can choose to display labor items via a setting in the report definition, but the price for the labor items will not be displayed. This is because all pricing on this report does not include labor until the very end of the report.

Separate Accessories from Parent Item

You can show the accessories separately and not below the parent Item via Report Settings.

Hide Packages

You can hide packages via Report Settings.

Project Summary

By default, the last page of the Proposal reports lists the totals for Equipment, Labor, Tax, and then the Grand Total.

If you have miscellaneous items in the project, they will be listed after the Sales Tax line since these are not taxed.

If you are using price adjustments, these will be displayed in the Project Summary section.

Below the Project Summary section are the signature lines.

Customizing Project Summary

You can customize the Project Summary section via the Report Settings in the Control Panel and the Report Definition feature.

Change the Wording of Adjustments

You can change the wording of each of the adjustments via Report Settings.

Break Out Labor by Phase

You can break your labor out by phase via a setting in the report definition. Each phase will be listed on separate lines, and if you use the Management and Design fields for your phases, they will be combined into one line item, each with the totals from each phase.

Show Discount

If you use the Discount field for products within a project, by default, they will not show here in the Project Summary section. You can display the discount here via a setting in the report definition.

You can change the wording of this field via Report Settings.

Separate Taxes

You can choose to separate your Sales Tax from your Labor Sales Tax and change the wording of these fields via the Report Settings.

Page Footer

Here, the project name, project number, revision number, date, and page number are displayed.

Appending Other Reports and Options

You have the option to append the following reports and options in the Proposal report.

Display Change Order History

This option allows you to display change order history information for a project at the end of the report, before the signature lines.

Display Service Plan

This option allows you to display the service plan information associated with the project at the end of the report.
