How to run and use the Quote Report

The Quote report is similar to the Proposal report, but with the following differences:

  • Accessories are not kept with the "parent" item.

  • Items in the packages are displayed separately and not as grouped items within the packages.

  • Optional and alternate items are not displayed.

This report is also the default report assigned to the Quick Quote button.

The report that runs when this button is clicked can be changed via a Report Setting, e.g., if you create a custom report.

The following is the layout and the fields in the report.

Header

Here, your company information and client information (project name, name, address, etc) are displayed. The colors of the graphic can be changed via report themes.

Scope of Work

The header is followed by a Scope of Work section. If there is no scope of work for the project, then this section will not be displayed.

Pricing Summary

The Pricing Summary section, by default, lists the totals for Equipment, Labor, Tax, and then Grand Total.

If you have miscellaneous items in the project, they will be listed after the Sales Tax line since these are not taxed.

If you use price adjustments, they will be displayed in the Project Summary section.

Customizing Pricing Summary

You can customize the Pricing Summary section via the Report Settings in the Control Panel and the Report Definition feature.

Change the Wording of Adjustments

You can change the wording of each of these adjustments via Report Settings.

Separate Taxes

You can choose to separate your Sales Tax from your Labor Sales Tax and change the wording of these fields via the Report Settings.

Show Discount

If you use the Discount field for products within a project, by default, they will not show here in the Project Summary section. You can display the discount here via a setting in the report definition.

You can change the wording of this field via Report Settings.

Payment Terms

This section starts on a new page and lists the payment terms for the project. It also has some stock text and signature lines.

Equipment Details

This section starts on a new page (this can be changed, see below), and it lists all of the products in the project.

The fields displayed are Qty, Manufacturer-Model, Short Description, and Price.

If you prefer not to display the Equipment Details section, this can be turned off by editing the parameter for the report definitions.

Page Footer

Here, the client name, date, and page number are displayed.

Appending Other Reports and Options

You have the option to append the following reports and options to the Quote report.

Display Change Order History

This option allows you to display change order history information for a project at the end of the report, before the signature lines.

Display Service Plan

This option allows you to display the service plan information associated with the project at the end of the report.

Display GreatAmerica Financing Options

This option allows you to display GreatAmerica financing options.
