How to manage Service Plans

You can manage service plans by clicking Start > Service > Manage Service Plans.

Here are some things you can do to manage service plans.

Mass Update

Mass Update functionality allows you to update the Service Plan Custom Fields for multiple service plans simultaneously.

Service Plan Approval

From the Home tab of the Service Plan Explorer, you can mark service plans as Approved, Rejected, or Open. You must have appropriate User Permissions to do so.

Mark as Approved

When you mark a service plan as Approved, it is locked for edits, and its status is set to Approved.

If any required fields for approval are missing (Plan Length, Start/End Date), you will be prompted to edit the service plan and update them.

You will get the following summary if all the required fields are populated. You will need to click the Mark as Approved button.

Mark as Rejected

When you mark a service plan as Rejected, it is locked for edits, and its status is set to Rejected.

Mark as Open

If you want to make changes to an approved or rejected service plan, you can mark the service plan as Open.

Lock and Unlock Service Plans

From the Tools tab, you can lock and unlock service plans and even lock and unlock service plan reports from being run. You must have appropriate User Permissions to do so.

Locking and unlocking of service plans and service plan reports can also be set through Workflow Rules.

Service Plan Template

Service Plan templates can be created only in the Service Plan Explorer. The service plan template is created from a service plan. So, to create a service plan template, you will need to create one or more service plans.

The service plan template contains all items, features, and terms of the service plan you used to create the template. The client associated with the service plan will not carry over to the template.

To create the service plan template, select the service plan you want to use as the basis and click the Template button.

A dialog will open, populated with the name and description of the selected service plan. You can edit the fields and click Save to save the template.

From now on, you can create a new service plan using one of the service plan templates.

Service Orders for Service Plans

Once you have approved a service plan, you can associate service orders with it. The actual hours entered in the service orders for the resources can then be compared with the Allowable Hours set on the service plan.

Service orders can be created and managed via the tab added to the service plan itself or in the Service Orders section at the bottom of the Service Plan Explorer.

You can still create and manage service orders via the Service Order Explorer.

Archive and Unarchive Service Plans

You can archive service plans that you no longer want to display in the default view within the Service Plan Explorer.

You can view and unarchive service plans by changing to the Archived view.
